THE MISSION
You will be responsible for managing the flow of leads and clients from first enquiry through to invoicing and follow-up. Your role is to support and co-ordinate the client journey, ensuring it is smooth, professional, and efficient from first enquiry through to completion, while contributing to continuous process improvements and supporting the company’s revenue generation.
SCOPE OF WORK
1. Lead & Client Management
- Respond to incoming enquiries in a timely and professional manner
- Delegate as needed to appropriate team member where required
- Organise and schedule client evaluation calls where required
- Ensure all leads are tracked and followed up by a team member
2. Quotations & Follow-Up
- Prepare and send quotations using predefined templates
- Adapt quotes based on client needs (within guidelines)
- Proactively follow up with prospects to increase conversion
3. CRM Co-ordination
- Maintain and update the client files on the different client systems
- Track lead status, client progress, and communications
- Ensure data is accurate and up to date at all times on various platforms
- Keep records organised and aligned with internal processes
4. Invoicing & Payment Tracking
- Issue invoices to clients accurately and ontime
- Monitor payments and follow up on outstanding invoices
- Maintain accurate records of invoices & payments
- Track and reconcile issued invoices
- Support basic financial tracking and reporting
EXPECTED OUTCOMES
- Quotes are sent within 48-72 hours
- Consistent follow-up process in place
- CRM or client file updated regularly
- Invoicing is timely and payments are actively tracked
- Reduction of solicitation to the CEO
PROFILE
- Strong organisational and administrative skills
- Comfortable communicating with clients (written & verbal)
- Experience with CRM systems and invoicing tools
- Able to work independently and take ownership
- Experience in service-based or client-facing businesses preferred
LANGUAGES
- Fluent English required
- French is a strong advantage
WORKING STYLE
- Freelance / independent contractor
- Approx. 8-10 hours per week (this can evolve with time)
- Flexible working hours, with responsiveness during business hours
- Regular check-ins with the CEO
